Location: Markham Head Office

Reports to: Senior Vice President, Information Technology (IT)

Type: Full Time Permanent

Salary: Salary, commensurate with experience

Job Responsibilities

The IT Project Coordinator role is accountable for providing support to IT management and Project Managers, in preparation of IT project deliverables such as status reports, project plans, budget, meeting notes and issue tracking decisions. This role will also support the Senior Vice President in overseeing, tracking the IT project portfolio and other IT processes including IT Change Management.

  • Maintains high quality project documents (i.e. plans, meeting minutes, status reports, Charter, risk and issue lists, schedules, and resource plans).
  • Assists the IT Program/Project Manager with modifications to time lines, budget and staffing requirements.
  • Coordinates project plans including project scope, budget, timeline, roles & responsibilities, team/stakeholder communication plans, risk mitigation plan, change control process, and general project life cycle processes as directed by Project Managers.
  • Attends project meetings and ensures meeting notes/action plans are clearly documented and communicated.
  • Actively assists in coordinating the completion and signoff of project deliverables to ensure completeness and accuracy.
  • Keeps project management up-to-date at all times on any issue that may impact delivery of the project.
  • Supports the development and maintenance of a consolidated view of the IT project portfolio and high level status, budget and resource capacity.
  • Assists with the coordination of appropriate resources for all work activities
  • Manages the repository of project deliverables and templates.
  • Contributes to the development and implementation of standards for document naming conventions, version control, filing of documentation, etc.
  • Oversees the IT Change Management process.
  • Assists the SVP IT with other tasks as directed.

Qualifications

  • Post-secondary education, preferably in Computer Science or Information Systems.
  • 3+ years of related experience in a project coordination or support role.
  • Knowledge of project management processes and the project management life cycle.
  • Expert knowledge of Microsoft Office tools, especially Word, Excel and Project.
  • Knowledge of or willingness to learn PowerPoint and Visio an additional benefit.
  • Experience working in IT projects of all sizes, with an understanding of IT project methodologies such as Waterfall or Agile.
  • Knowledge of IT service management (ITSM).
  • Health care or pharmacy industry experience is an asset.
