Job Responsibilities

Reporting to the Senior Director, Marketing and Business Development, the Administration & Reimbursement Specialist is responsible for the day to day administration and coordination of support requirements of the Specialty Team.    The primary focus of this role is to  facilitate the insurance reimbursement for patients receiving specialty drugs from our physician clients.

  • Receive patient/prescription referrals from specialists offices, contact all required parties (i.e. patient, physician, payers, employers, etc.) to investigate, coordinate and verify drug funding from available sources
  • Works with patients and physician clinics to coordinate reimbursement coverage for specialty drug therapies, including benefit investigation, prior authorization management and sourcing of other financial assistance
  • Assists in patient’s applications for funding, verifying that any existing information is accurate and update patient benefit information in the pharmacy drug management system
  • Coordinate with Pharmaceutical Patient Support Programs as needed
  • Assists in determining copay responsibility and any coordination of benefits opportunity with patients insurance benefits
  • Initiates prior authorizations as required by the patient’s health care plan(s)
  • Places outbound calls to patients or physician’s offices to obtain additional information needed to process the prescription request or to provide status update on the referral
  • Take inbound calls relating to insurance questions from patients, clients, physicians, healthcare providers and clinics regarding inquiries about services provided and financial responsibility
  • Communicates any referral delays or issues to the appropriate escalation contact
  • Provides prompt and accurate information to external and internal customers and ensure client satisfaction
  • Accurately document all communications and upload all source documents into the SalesForce CRM
  • General administrative support for the Specialty  Team, including researching product information, identify product pricing and gross profit, coordinating meetings, support for field resources, organizing and maintaining corporate files
  • Assist with a variety of scheduled and unscheduled projects that may occur within the department at any given time
  • Ability to provide reporting updates, including PowerPoint presentations and spreadsheets as required
  • Support ongoing development of specialty drug programs


  • Diploma or certificate in business/medical administration
  • Minimum of two years relevant experience in a medical billing or benefit reimbursement position
  • Pharmacy or healthcare knowledge an asset
  • Excellent interpersonal skills and communication skills – both written and verbal
  • Exceptional customer service skills, empathetic to patients needs’
  • Proven ability to organize time, set priorities, and multi-task in order to meet various competing Demonstrated attention to details with superior organizational and administrative skills
  • Computer skills including proficiency in MS Office
  • Interest in working in a developing and expanding role
